The Excavation Contractor KPI Dashboard in Power BI scores 14 KPIs across 6 KPI groups on four report pages, backed by two hidden tooltip pages and five slicers. Every KPI carries its own direction flag, so six higher-is-better metrics score Actual divided by Target and eight lower-is-better metrics score Target divided by Actual. A full 2025 sample year and a 2024 prior year ship inside the data pack, so the report opens populated and you can see exactly how it behaves before you type a single number of your own.
Most excavation contractors already know their numbers; they just keep them in five places. Cubic yards come off the survey, machine hours come off the telematics portal, trench footage sits in the utility division’s log, breakdown hours in the shop’s whiteboard and debtor days in the accounts system. Nothing scores any of it against a target, so nobody can say whether last month was good. This report pulls that into one monthly view where every metric has a target, an achievement percentage and a red, amber or green light.

Key Features of the Excavation Contractor KPI Dashboard in Power BI
This is a KPI scorecard report from our Power BI KPI dashboard family, not one of our analytical Power BI dashboards. It answers “did we hit target this month, and are we better or worse than last year” rather than slicing job-level transactions, and that focus is what makes it usable in a monthly management meeting.
- 14 excavation KPIs. Excavation Revenue, Gross Profit Margin %, Days Sales Outstanding, Cubic Yards Excavated, Cost per Cubic Yard Moved, Utility Trench Footage Completed, Equipment Utilization %, Unplanned Fleet Downtime Hours, Fuel Cost per Machine Hour, Schedule Milestone Compliance %, Change Order Approval Cycle, Total Recordable Incident Rate, Utility Strikes per 1,000 Locates and Field Labor Overtime %.
- Six KPI groups. Financial, Production, Fleet, Schedule, Safety and Workforce, so the KPI Group slicer can narrow the scorecard to one function.
- Direction-aware achievement. Eight of the fourteen KPIs are lower-is-better. Total Recordable Incident Rate at 2.16 against a 2.51 target scores 116.2%, exactly as it should.
- Documented status bands. On Target at 100% or more, At Risk from 95% to 100%, Missed below 95%. The same bands drive the header counts and both status-light columns.
- A YoY % that reads the right way round. For lower-is-better KPIs a fall is shown as a positive improvement, so green always means better than last year and red always means worse. We checked this against the data pack on all fourteen KPIs in the shipped file.
- MTD and YTD in one row. The scorecard table carries actual, target, achievement % and a status light for the selected month, then actual, achievement % and status for the year to date.
- Owner and priority built into the model. The shipped KPIs are assigned to 13 named roles at three priority levels, and both are slicers.
Dashboard Pages Explanation
The .pbix holds six pages: four you navigate to and two hidden tooltip pages, KPI Detail and Trend Detail, that appear when you hover a visual.
Page 1: KPI Scorecard
The month view and the page you will live on. Five slicers (Month, KPI Group, Owner, Priority and Direction) sit above five header cards: Total KPIs, MTD Target Met, MTD At Risk, MTD Target Missed and Achievement MTD, each with a month-over-month change and a 12-month trend bar. Below them, a 14-row table gives every KPI its group, unit, sparkline, MTD actual, target, achievement %, status light and YoY arrow, then YTD actual, achievement % and status light.
In the shipped December 2025 sample the split is 8 On Target, 3 At Risk and 3 Missed, at 100.7% Achievement MTD. The misses are Utility Strikes per 1,000 Locates (87.2%), Cost per Cubic Yard Moved (4.51 USD against 4.13, 91.6%) and Gross Profit Margin % (92.0%). The At Risk trio is Utility Trench Footage Completed, Schedule Milestone Compliance % and Days Sales Outstanding. At the other end, Excavation Revenue reads 4,527,809 against a 4,343,056 target and 51,595,319 for the year.

Page 2: KPI Trend
Choose a KPI from the list on the left and the whole page follows it. Six context cards show the KPI, group, unit, direction, owner and priority; five value cards show MTD actual, target, achievement %, status and YoY %. Two line charts compare the current year, the prior year and the target: CY MTD vs PY MTD vs Target MTD by Month, and CY YTD vs PY YTD vs Target YTD by Month.
The shipped view shows Change Order Approval Cycle, owned by the Contract Administrator: 24.87 days against a 25.51-day target, 102.6% and On Target. Its YoY reads -1.7% in red, because December 2024 was quicker at 24.46 days. That is the useful tension this page exposes: a KPI can beat its target and still be slipping against last year.

Page 3: KPI Definition
The same KPI, explained so that anyone in the meeting reads it the same way. Cards carry the formula, the plain-English definition, group, unit, direction, owner, priority and a 12-month trend bar. For Change Order Approval Cycle the formula is Owner Approval Date – Change Order Submission Date. Below sit a Monthly Detail for the Selected KPI table from January to December with a total row, and two charts: MTD Actual vs Target by Month and Achievement % by Month. February, April, May and September 2025 are the four At Risk months in the sample.

Page 4: Get More Templates
A help and catalogue page. It lists other Power BI dashboard templates, our custom-build services, and a Using and Customizing This Template panel that covers changing the month, picking a KPI, swapping in your own data, UTB and LTB scoring and recolouring the theme.

The data pack
Data.xlsx has four sheets. Read Me explains the scoring rules and how to fill the file. Input_ Target holds 168 rows (14 KPIs x 12 months), Input_ Actual holds 336 rows covering 2025 and the 2024 prior year, and KPI Definition holds each KPI’s group, unit, formula, definition, UTB or LTB type, owner and priority. The KPI name is the join key, so a rename has to happen in all three data sheets.

Who Should Use This Template
- Owners and general managers of excavation, grading and utility contractors running a heavy fleet.
- Production, equipment and utility division managers who already track yards, machine hours and trench footage in spreadsheets.
- Finance and project controls leads reporting margin, debtor days, milestones and change orders upward.
- Power BI users who want a finished KPI model to adapt rather than a blank canvas.
It is not for teams that need estimating, job costing or pay applications, live telematics feeds, or safety and damage-prevention records. It is a reporting layer over a workbook you maintain.
Real-World Use Cases
The owner’s monthly review. Filter Priority to Critical and six KPIs remain. In the sample, Excavation Revenue is On Target at 104.3% and up 12.1% on last year, but Gross Profit Margin % is Missed at 17.53% against 19.05%. Growth without margin is the conversation to have with estimating before the next bid round.
The production meeting. Select KPI Group Production. Cubic Yards Excavated is On Target at 302,997 CY, yet Cost per Cubic Yard Moved is Missed and Utility Trench Footage Completed is At Risk at 96.8%. More yards are being moved, each one is costing more, and trench crews are slightly behind plan.
The equipment shop. On the KPI Trend page, Unplanned Fleet Downtime Hours reads 697 against a 763-hour target and 8.0% better than last year, while Fuel Cost per Machine Hour is 23.94 USD against 25.25. The CY vs PY lines show whether that is a trend or one good month.
Advantages of the Excavation Contractor KPI Dashboard in Power BI
- One page answers the monthly question. Fourteen KPIs, fourteen targets and three colours.
- Fair scoring for cost and cycle-time metrics. Beating a lower-is-better target lifts achievement above 100% instead of penalising it.
- Accountability built in. Owner and Priority slicers let each manager open their own KPIs.
- Fully editable. Add, rename or delete KPIs in Data.xlsx and refresh; nothing is hard-coded.
- Free to run. Power BI Desktop costs nothing, and the template is a one-time purchase.
Opportunities for Improvement
We would rather you know these before you buy. YTD values are typed into Data.xlsx rather than calculated by the model, so you must enter a running total for money and volume and an average for %, days and rates. The KPI Trend and KPI Definition pages are linked by a synced KPI Name slicer, not a right-click drillthrough. The month-over-month chips on the header cards compare KPI counts, so 8 On Target against 9 the month before shows as -11.1%, which can look alarming at first glance. And the two tooltip pages are hidden in view mode, so you edit them only in Power BI Desktop.
Best Practices
- Set targets before the year starts and do not move them mid-year, or achievement % stops meaning anything.
- Load the full prior year into Input_ Actual so every YoY figure and PY line has data.
- Check the UTB or LTB flag on every new KPI; a wrong flag inverts its score.
- Keep Data.xlsx beside the .pbix and use Change Source once if you move it.
- Review Missed KPIs first, then At Risk, and give each an owner action before the meeting ends.

Frequently Asked Questions
What KPIs does the Excavation Contractor KPI Dashboard in Power BI track?
Fourteen KPIs in six groups: Financial, Production, Fleet, Schedule, Safety and Workforce. Each has a unit, formula, definition, direction, owner and priority in the data pack.
How long does setup take?
Under 10 minutes once your monthly actuals and targets exist. Unzip, open the .pbix, replace the rows in Data.xlsx and press Refresh.
Do I need a paid Power BI licence?
No. Power BI Desktop is free and opens, refreshes and filters the report. Pro is only needed to publish and share it in the Power BI Service.
Can I add my own KPIs?
Yes. Add a row to KPI Definition plus its monthly Target and Actual rows, then refresh. Counts, the scorecard, the KPI list and every chart follow.
How does this compare to construction management software?
Construction platforms are subscriptions that estimate, schedule, cost and bill jobs. This is a one-time reporting layer that scores the monthly numbers you already have; it does none of those operational tasks.
Does it cover trench safety or utility damage prevention?
No. Total Recordable Incident Rate and Utility Strikes per 1,000 Locates are counts you enter yourself, not incident, inspection or locate records, and the file makes no regulatory or compliance claim.
Where does the sample data come from?
It is fictional sample data for January to December 2025 plus a 2024 prior year, not figures from any real company. Replace it with your own numbers and refresh.

Conclusion
An excavation business rarely fails because nobody counted the yards. It struggles slowly, because cost per yard crept up a few cents a month and margin slipped a point at a time, and nothing scored either against a target until the year was gone. This report turns that into a monthly discipline: fourteen metrics, fourteen targets, three colours and a prior year to compare against.
