- A control panel. The Setting sheet sets the year, start month, week-start day, two highlight weekdays, an event-highlight switch and one of five themes (Default, Blue, Red, Black, Orange).
We checked the shipped workbook before writing this. It has exactly 100 records with IDs 1 to 100 and no gaps, sorted by date, with no two sessions on the same day. We recomputed the weekday of all 100 dates and found zero mismatches.

There are seven sheets. Two are formula-driven: Annual View and Monthly View redraw the moment you change the year or month. Two are macro-written: Daily View and This Month contain no formulas, so they update when their macro runs. That is why macros must be enabled for the calendar to be useful.

Annual View
All of 2026 on one page. In January, the shaded dates are 4, 8, 12, 13, 14, 16, 18 and 26, matching the eight January sessions in the table.

Monthly View

What the Sample Season Contains
The 100 sessions build to the Annual Sports Day Full Dress Rehearsal on 12 December and the Final Event on 18 December. They mix track work (100m, 200m and 400m running, hurdles and relay baton exchanges), field events (long jump, shot put, javelin, discus) and team games (cricket, football, volleyball, basketball, kabaddi, kho-kho). There are also fun races such as the three-legged race, sack race and tug of war, and ceremony drills.
Dated one-offs include an International Yoga Day Session on 21 June, an Independence Day March-Past Drill on 15 August and a National Sports Day Fitness Drive on 29 August. The Main Ground hosts 42 sessions, the Athletics Track and Indoor Sports Hall 15 each, and the Cricket Field 11.
A note on children’s data. The sample data is fictional and names no student, parent, coach or member of staff. It records sessions, not people, and has no class, house, medical, consent or emergency-contact fields. It is not a student information system or a safeguarding tool and makes no compliance claim. - Windows desktop only. The VBA does not run in Excel for the web or on mobile.
Best Practices
- Save a blank copy before deleting the sample rows, so you keep a clean template for next season.
- Keep venue names consistent (for example, always “Main Ground”) so the Top 5 Locations table counts them correctly.
- Put the age group or team in the Event Name, such as “U14 Relay Baton Exchange”, rather than recording individual pupils.
- Refresh Daily View and This Month after every batch of changes, before you print.
- Only open the file from a trusted location and follow Microsoft’s guidance on enabling macros in Microsoft 365 files.
