The Moving Company KPI Dashboard in Excel tracks 14 KPIs across 6 groups on one month-driven scorecard. Every KPI shows MTD and YTD actual, target, achievement %, a traffic-light status and a prior-year comparison, and 3 of the 14 are scored as lower-the-better. In the September 2025 sample the cards read 6 On Target, 6 At Risk and 2 Missed for the year to date, with average achievement of 101.1% MTD and 98.2% YTD.
Moving companies juggle crews, trucks, estimates and customer promises, and the numbers usually live in separate reports. A moving company KPI dashboard pulls them into one monthly review: were pickups and deliveries on time, did estimates turn into bookings, did claims and cost per mile stay under target, and is the business ahead of last year? This template answers those questions in plain Excel formulas, with no macros or Power Query.

This post covers the Excel KPI Dashboard edition, the month-picker family with traffic lights and dedicated KPI Trend and KPI Analysis pages. If you want charts built from transaction-level data instead, read our walkthrough of the analytical Moving Company Dashboard in Excel. A separate Moving Company KPI Scorecard in Excel also exists as a different card-style family.
Key Features of the Moving Company KPI Dashboard
- 14 KPIs for movers. On-Time Pickup Rate, On-Time Delivery Rate, Truck Utilization Rate, Completed Moves, Estimate-to-Booking Conversion, Average Revenue per Move, Estimate Accuracy, Customer Satisfaction Score, Repeat & Referral Business, Claims Ratio, Cost per Mile, Gross Operating Margin, Crew Productivity and Lost-Time Injuries.
- Six KPI groups. Operations & Fleet (4 KPIs), Sales & Estimating (3), Service Quality (2), Claims & Damage (1), Financial (2) and Workforce (2).
- One month picker. Cell D6 on the KPI Dashboard is a dropdown of the twelve months of the reporting year. The scorecard, the seven summary cards and the KPI Analysis page all follow it.
- Direction-aware achievement. Achievement is Actual / Target for Upper The Better KPIs and Target / Actual for Lower The Better KPIs. Claims Ratio, Cost per Mile and Lost-Time Injuries are LTB, so beating those targets scores above 100%.
- Clear status rules. On Target from 100%, At Risk from 95% to 99% and Missed below 95%, set in plain formulas in columns L and U.
- Room to grow. The sheets are wired for 22 KPIs; 14 are filled in and the remaining rows are live and empty.
- Nothing to install. VLOOKUP, MATCH, INDEX and COUNTIF only. It opens in Excel 2013 and later and in Excel for the web.
Dashboard Pages Explanation
The download is a ZIP with the .xlsx workbook and the Excel KPI Dashboard User Manual PDF. The workbook has 11 sheets, walked through below in order.
Home
The Home page links to the three dashboard pages (KPI Dashboard, KPI Trend, KPI Analysis), the three input sheets (Actual, Target, PY) and the reference sheets (KPI Definition, Read Me, Get More Templates). A “What this template does” panel summarises the month picker, direction-aware scoring, adding KPIs without formulas, charts that follow the selected KPI and the no-install design.

KPI Dashboard
The heart of the workbook. Seven cards sit across the top: Total KPIs Tracked (14), On Target YTD (6), At Risk YTD (6), Missed YTD (2), Improving vs PY MTD (10 of 14), Avg Achievement MTD (101.1%) and Avg Achievement YTD (98.2%). Below them, each KPI row carries its group, name, unit and type, then a Month to Date block and a Year to Date block with Actual, Target, Ach %, Status, Prior Yr and vs PY.
The September 2025 sample shows how the scoring reads. Completed Moves hit 199 against a target of 169, an On Target 117.8%. Claims Ratio came in at 4.58% against a 4.70% target, which scores 102.6% with a green down-arrow because lower is better. Estimate-to-Booking Conversion reached 30.88% against 33.37% and is Missed at 92.5%.

KPI Trend
Select a KPI in cell B4 and the page shows its KPI group, unit, type, owner, priority and frequency, plus its formula and definition. A twelve-month table lists MTD and YTD actual, target, prior year, achievement and status, and a vs Prior Year block. Two charts follow: MTD Trend and YTD Trend, each with actual and prior-year columns and a target line.
The sample is On-Time Pickup Rate, a Critical KPI owned by the Operations Manager. September MTD is 92.61% against 93.06% (At Risk at 99.5%), while YTD is 92.83% against 92.00% (On Target at 100.9%).

KPI Analysis
Everything here follows the month picked on the KPI Dashboard. Performance by KPI Group lists each group’s KPI count, On Target, At Risk and Missed counts and average achievement MTD and YTD, with an Average YTD Achievement by KPI Group chart. Operations & Fleet averages 99.9% YTD, Financial 99.2%, Workforce 98.2%, Sales & Estimating 97.2%, Service Quality 96.7% and Claims & Damage 95.3%.
The Top 5 Performing KPIs (YTD) are Average Revenue per Move (103.4%), On-Time Pickup Rate (100.9%), Completed Moves (100.7%), Gross Operating Margin (100.6%) and Customer Satisfaction Score (100.5%). The Bottom 5 are Estimate-to-Booking Conversion (91.7%), Repeat & Referral Business (92.9%), Claims Ratio (95.3%), Lost-Time Injuries (96.4%) and Estimate Accuracy (96.7%).

KPI Input – Actual
This year’s results, one row per KPI with an MTD and a YTD column for every month. Cell E3 holds the first month of the reporting year; change it and the Target sheet, the PY sheet, the month dropdown and every title re-base.

KPI Input – Target
The same layout for targets. The month headers follow the Actual sheet, so you never retype them.

KPI Input – PY
Last year’s results, with month headers shifted back twelve months from the Actual sheet. These feed the Prior Yr and vs PY columns and the prior-year columns in both trend charts.

KPI Definition
The master list every other sheet follows. Each row holds KPI number, group, name, unit, formula, definition, type, owner, priority and frequency. For example, Cost per Mile = Total Fleet Operating Cost / Total Miles Driven, LTB, owned by the Finance Controller; Crew Productivity = Actual Moves Completed per Crew-Day / Standard Moves per Crew-Day, measured as an index.

Read Me covers the five-minute setup, the MTD/YTD and cumulative-versus-average rules, UTB/LTB, achievement %, status and arrows, and how to add, rename or remove KPIs. Get More Templates links to other NextGenTemplates products and custom-build enquiries.

Who Should Use This Template
Perfect for:
- Owners of local, long-distance and commercial moving companies
- Operations managers, dispatch leads and fleet supervisors
- Sales and estimating managers focused on conversion and estimate accuracy
- Finance controllers reviewing cost per mile and operating margin
Not a fit if:
- You need booking, crew dispatch, inventory lists or invoicing
- You need a claims-handling system, an injury log or a regulatory compliance record
- You want live data pulled automatically from a moving CRM or telematics platform
Real-World Use Cases
Daniel owns a 12-truck household moving company. On the first working day of each month he enters pickups, deliveries, truck utilization and completed moves, selects the month and prints the KPI Dashboard for his crew leads. The At Risk rows become the agenda.
Priya runs sales and estimating at a regional relocation firm. She selects Estimate-to-Booking Conversion on KPI Trend and compares each month with last year, then uses the Bottom 5 table to decide which estimators need coaching on survey accuracy.
Marcus is finance controller at a commercial mover. He watches Cost per Mile and Gross Operating Margin on the YTD block and uses Avg Achievement YTD as a single headline number for the owner’s monthly report.
Advantages of the Moving Company KPI Workbook
- One review, one dropdown. A single month selection updates the whole scorecard and the analysis page, which keeps meetings short.
- Fair scoring for cost and risk KPIs. The LTB flag stops a falling claims ratio or cost per mile from reading as a failure.
- Ownership built in. Every KPI carries an owner, priority and frequency, so each red light has a name next to it.
- Transparent maths. Formulas are visible and editable, and the Read Me explains exactly how achievement and status are calculated.
- Low cost. A one-time purchase instead of per-user monthly fees.
Opportunities for Improvement
- Manual data entry. Numbers are typed or pasted into the three input sheets; there is no connection to a moving CRM, telematics or accounting system.
- YTD is stored, not calculated. You enter both MTD and YTD, which gives flexibility but means a wrong YTD value is not caught automatically.
- Monthly grain only. There is no weekly, branch or crew-level breakdown; multi-branch movers would need one copy per branch.
- Leftover file properties. The workbook’s File > Info title and description still name an aerospace and defense template from the builder. It does not affect any sheet or formula, but rename it before sharing the file.
- Not an operational or compliance record. Lost-Time Injuries and Claims Ratio are KPIs you enter, not an injury log or claims file.
Best Practices
- Agree KPI definitions with each owner before entering data, especially what counts as an on-time pickup window.
- Keep YTD consistent: accumulate counts such as Completed Moves and average rates such as Claims Ratio, as the Read Me recommends.
- Set realistic targets from last year’s PY sheet rather than round numbers.
- Review the Bottom 5 table every month and assign one action per KPI.
- Save a copy per year so the PY sheet can be filled from the previous file.
If you are new to dropdown cells, Microsoft’s guide to creating a drop-down list in Excel explains how the month and KPI selectors work, and the VLOOKUP function reference covers the lookup formula the workbook relies on.

Frequently Asked Questions
What KPIs are in the Moving Company KPI Dashboard in Excel?
The Moving Company KPI Dashboard in Excel includes 14 KPIs in 6 groups, from On-Time Pickup Rate and Truck Utilization Rate to Estimate-to-Booking Conversion, Claims Ratio, Cost per Mile, Gross Operating Margin, Crew Productivity and Lost-Time Injuries. You can rename them or add up to 22.
How do I track moving company KPIs in Excel with this template?
Enter your monthly MTD and YTD values on the Actual, Target and PY input sheets, then pick a month in cell D6 on the KPI Dashboard. The scorecard, summary cards and KPI Analysis page update, and KPI Trend shows any single KPI over twelve months.
Does it need macros or Power Query?
No. The workbook uses plain worksheet formulas only, with no macros, Power Query, data model or add-ins. It opens as a standard .xlsx in Excel 2013 and later and in Excel for the web, with nothing to enable or refresh.
Can the reporting year start in a month other than January?
Yes. Set cell E3 on KPI Input – Actual to your first reporting month. The Target and PY sheets, the month dropdown and every sheet title re-base automatically, so a fiscal year starting in April or July works the same way.
Is this a booking, dispatch or claims system?
No. It is a KPI reporting workbook that scores the monthly numbers you enter. It does not store customer moves, schedule crews, manage inventory, process damage claims or serve as a safety or regulatory compliance record.
How does it compare with paid moving software?
Paid moving CRMs run bookings, dispatch and invoicing on a subscription. This Excel template costs $12.99 once and focuses on a monthly MTD and YTD review against target and prior year, so it works well alongside the system you already use.
