Home

A plain launcher: five buttons that jump to Annual View, Monthly View, Daily View, This Month and Events. Every other sheet carries a small house icon top-left that brings you back. It is the least interesting sheet in the file and the one people use most.

Annual View

All twelve months of the selected year in a three-across, four-down grid on a single page, with every date that carries a collection round highlighted. In the shipped 2026 file, January highlights the 2nd, 5th, 6th, 7th, 10th, 13th, 16th, 25th and 26th – nine rounds, matching the nine rows in the table. Weekend shading follows the two highlight-day settings. The print area is pre-set so the whole year fits one landscape sheet, which is the single most useful thing this workbook does: print it in January, pin it up, and the camp season is visible from across the room. The control panel on this sheet also holds the year, start-month, week-start and theme switches.

Monthly View

A full Sun–Sat grid for one month, chosen from a Month and a Year dropdown, with the event name written inside the date cell. January 2026 opens with Morning Blood Draw Round on Friday the 2nd, Home Collection Round on Monday the 5th, Courier Pickup Run on Tuesday the 6th, and so on. It is formula-driven, so it redraws the moment you change the month.

Daily View

Set a Start Date and an End Date with the two calendar buttons, click the refresh icon between them, and the sheet rebuilds as a flat list: ID, Date, Day, Event Name, Time, Location, Description. The shipped file is set to 2 January – 1 February 2026 and returns nine rows. This is the sheet you print for the collection team in the morning.

This Month

A summary page for one chosen month. For August 2026 the shipped file reports 8 events, 8 active days, 7 locations used and a Next 7 Days counter, then breaks the month down by day of week – Sunday 0, Monday 1, Tuesday 1, Wednesday 0, Thursday 2, Friday 3, Saturday 1 – and lists the top locations, before printing the full month underneath. The day-of-week table is quietly the most actionable thing here: three of August’s eight rounds fall on a Friday, which is a staffing decision waiting to be made.

Events and Setting

The Events sheet is the master table. Its columns are exactly ID, Date, Day, Event Name, Time, Location and Description – seven columns, rows 5 to 104, IDs 1 to 100. The Setting sheet holds the year, the start month, the week-start day, two highlight day-of-week slots, an event-highlight toggle and the theme selector.

Who Should Use This Template

It suits small and mid-size pathology labs, standalone diagnostic centres, collection-centre chains planning routes and camps, and corporate health-camp organisers – anyone whose collection plan currently lives on paper or in a flat spreadsheet with no month view.

It does not suit you if you need specimen-level tracking, patient identifiers, result reporting, regulatory submissions, automatic reminders, phone access, or several people editing the same calendar at once. It also rules out Mac-only and Excel-for-the-web users: the forms and buttons are VBA with ActiveX controls, which need Excel on Windows desktop. Microsoft documents that platform boundary in its own Excel VBA reference.

Real-World Use Cases

A three-branch diagnostic chain. Location is set to the branch name. The Annual View is printed in January so every branch sees which weeks carry camps; each Sunday the supervisor sets the Daily View to the coming week and prints one sheet per branch.

A courier-run pathology network. Location values are the two home-collection routes and the dispatch bay. The This Month day-of-week table shows Friday carrying the heaviest August load, so a driver gets moved before the week starts.

A corporate wellness organiser. Only camp draws go in the file – Republic Day, post-Holi, Blood Donor Day, Independence Day, pre-Diwali – and the printed Annual View doubles as next year’s camp plan for clients.

Advantages of the Lab Sample Collection Calendar in Excel

  • The dates are right. Every one of the 100 weekday labels was recomputed against its date before release – 100 rows, zero mismatches. On a calendar that is the whole product.
  • It stores no personal data at all. There is no patient column, no donor column, no phlebotomist name, no sample ID and no test code, and no row in the shipped file names a person. For a lab, a scheduling file that cannot leak anything is a feature, not a gap.
  • Entry is governed. The Add / Update / Delete form assigns IDs, fills the Day from the Date and formats the row, so the table stays consistent even when several people take turns at it.
  • It prints. Print areas are pre-set on the Annual, Monthly and Daily sheets. Collection teams work off paper more often than software vendors like to admit.

Opportunities for Improvement

An honest list, because a listing that hides these wastes your afternoon:

  • No reminders or notifications of any kind – no email, no SMS, no calendar sync. You open the file and look at it.
  • No end time or duration field, so collection-slot utilisation cannot be calculated from the data.
  • No status field – a round cannot be marked done, missed or cancelled.
  • Nothing prevents double-booking a phlebotomist or a route.
  • The Monthly View shows only the first event on a date, plus an “N more…” counter. The shipped sample carries one round per date, so you will not see this until you add a second.
  • The summary panel is labelled Top 5 Locations and lists five, even when the Locations Used figure beside it reads higher – for August 2026 it reads 7.
  • The Daily View is macro-built, not formula-driven, so it only updates when you click refresh.
  • Windows desktop Excel only, and saving as .xlsx silently strips every macro and button.

Best Practices

  1. Unzip to a real folder, then right-click the workbook, choose Properties and tick Unblock before the first open. Files opened from inside a ZIP will not run macros.
  2. Click Enable Content when Excel asks. Without macros the buttons do nothing.
  3. Set the year on the Setting sheet first, then delete the 100 sample rounds and add your own.
  4. Use Location as your category – centre, route, camp site or courier bay – because the This Month page groups by it.
  5. Spell Location values consistently, or the summary splits one site into two.
  6. Keep descriptions to one line so they read inside the Monthly grid.
  7. Save as .xlsm or .xlsb, never .xlsx.
  8. If you must reference a person, use an internal code. An unencrypted local workbook is not appropriate storage for patient or staff identifiers.

Is this a LIMS or a specimen-tracking system?

No. It schedules collection rounds and nothing else – no specimen tracking, no accession numbers or barcodes, no chain of custody, no results, no regulatory reporting.

Does it store patient or staff data?

No. The Events sheet is only ID, Date, Day, Event Name, Time, Location and Description, and no shipped row names a person. Use an internal code if you need to reference someone.

Is it CLIA, CAP, ISO 15189 or NABL compliant?

No. It is a spreadsheet, not an accredited system, and has never been validated against any of those standards. Your compliance obligations are unchanged by using it.

Will it remind me about a round?

No. There are no reminders, notifications, alerts or calendar sync.

Does it work on Mac, iPad or Excel for the web?

No. The buttons, entry form and theme switcher are VBA with ActiveX controls, which need Excel on Windows desktop.

Why do some sample descriptions mention barcoding and a LIS?

Because that is what happens in a real lab after collection. The workbook itself does none of it and stores none of that data – the descriptions are sample text, not features.
