Subtotal Magic in Excel – Quick Guide

Your Data, Demystified

First off, let’s talk about your data. It’s the star of the show, after all. In our example, you’ve got Supervisor Name in column A, Employee Name in column B, and those crucial Sales figures in column C. Knowing your data like the back of your hand? That’s step one to Excel success.

Step 1: Sort It Out!

Now, let’s kick things off by sorting your data. Whether you choose ascending or descending order for the Supervisor Name, it’s all good. Sorting is the foundation of our subtotal journey, ensuring everything adds up perfectly later on.

Step 2: Subtotal Time!

Then, it’s time to head over to the Data tab. Click on ‘Outline’, then ‘Subtotal’, and there you are. This little trip to the Data tab is your ticket to organized, summary-level data.

Step 3: Customize Your Calculations

In the Subtotal popup window, select the below info:

  • Select ‘Supervisor Name’ in the “At each change in” dropdown. This tells Excel, “Hey, let’s start a new subtotal with each new supervisor!”
  • Choose ‘Sum’ in the “Use Function” dropdown to sum up those sales.
  • Make sure ‘Sales’ is ticked in the “Add subtotal to” list. That’s where the magic happens.
  • Go for ‘Replace current subtotals’ and ‘Summary below data’ to keep things neat and tidy.

Step 4: Bring It All Together

Lastly, hit ‘OK’ and watch Excel do its thing. It’s like a little Excel fairy sprinkles subtotal magic all over your data. And there you have it – a beautifully organized sheet with all the subtotals you need.
